How Much Do You Need?
Rough rules of thumb. Fill in the form and we will check the maths against your numbers.
Drinks
A single cocktail machine pours around 100 drinks, a double around 200, a triple around 300. Allow two to three drinks a head for a night party, and you supply the spirits.
Seating
Standing party: one bar table for every four to five guests, stools for about a third of them. Sit-down: a trestle seats six with a chair each.
Music
One jukebox covers a house or backyard party. Add karaoke and you get two microphones and thousands more tracks. The PA is for speeches and bigger rooms.
Power and space
Machines need a normal powerpoint each. Neon signs, photo booths and light-up numbers need to be undercover, and everything needs a flat spot to stand on.

The long version
The Checklist Itself
Print it, screenshot it, or just tick it off in your head.
Six to eight weeks out
- Lock in the date and the guest list.
- Book the big items first: cocktail machine, jukebox, photo booth, neon signs. They go early for spring and Christmas.
- Decide indoors, backyard or venue, and check the venue allows outside hire.
Two to three weeks out
- Add the extras: tables, chairs, LED furniture, lawn games, heaters.
- Confirm the delivery address and who will be there to take delivery.
- Sort the alcohol for the cocktail machine and the playlist for the jukebox.
The week of
- Tell us about stairs, long carries or tight access so the driver comes ready.
- Clear a flat, undercover spot with a powerpoint for each machine.
- Check cups, ice and a rubbish plan. Cocktail glasses and extra mix are on the shop.
On the day
- Delivery is between 10am and 2pm. Someone needs to be there.
- Have cash ready if you have not paid by bank transfer.
- Check everything at the door and tell the driver straight away if anything is missing.
What people forget
The Four Things That Go Wrong
None of them on the day, if you read this now.
Power
Every machine needs its own normal powerpoint. Two machines on one double adaptor is fine; four on an extension lead across the lawn is not. Generators are on the shop for parks and paddocks.
Undercover
Neon, light-up numbers, photo booths and the jukebox all need to be out of the weather. A patio, marquee or carport is fine. An open lawn is not, even if the forecast is good.
Access
Delivery is to ground level. Stairs, steep driveways and long carries from where the van can park all need a heads up in advance, and can attract an extra charge.
Someone at the door
If nobody is home when the driver arrives there is a redelivery fee. Leave the gate unlocked, the dog inside and a phone number that will actually be answered.
